General terms and conditions

 

  1. Eligibility for Participation

All prospective participants must be registered with their respective regulatory authority in their country of practice: the Dental Council of New Zealand or the Dental Board of Australia or a US State Dental Board or the Dental Council of India AND hold a current, unrestricted Annual Practising Certificate. In addition, valid professional indemnity insurance is required. Participants who do not meet these criteria will only be permitted to attend didactic sessions, hands on sessions and demonstrations. They will not be eligible to perform any clinical procedures. At our extramural facility in India, local temporary Dental Council registration will be arranged.

  1. Course Accreditation and Nature

The ACE Institute’s courses are intended exclusively for Continuing Professional Development (CPD). They do not confer a degree, diploma, or professional title. CPD point allocation is subject to the discretion of the accreditation body in each country.

  1. NZDA (New Zealand Dental Association) CPD Disclaimer

NZDA verifies, based on information supplied, whether a course meets its CPD requirements. This verification does not constitute endorsement or promotion of course content. Participants are expected to exercise professional judgment when evaluating the relevance, safety, and effectiveness of techniques, materials, or therapeutic products discussed in the course.

  1. Course Agreements and Documentation

All participants are required to sign a Course Terms and Conditions agreement at the beginning of a course, and if involved in clinical procedures, a separate agreement is provided for the provision of clinical services to patients. Participants are also responsible for obtaining informed consent from patients and for maintaining complete and accurate clinical records, including notes, radiographs, photographs, and related documentation.

  1. Course Modifications and Cancellations

The ACE Institute reserves the right to modify course details—including curriculum, faculty, dates, partners, and venues—without prior notice due to unforeseen circumstances or logistical considerations. The Institute also reserves the right to cancel a course in its entirety if registration numbers are insufficient to support its delivery.

  1. Cancellation Policy

Due to the limited capacity and hands-on nature of our courses, no refunds will be provided for partial cancellations by participants midway through a multi module course. In extenuating circumstances, participants may be offered placement in a future course at the Institute’s discretion. Registration is deemed confirmed upon receipt of any portion of the course fees (including a registration deposit) and implies acceptance of these terms and conditions. Registration deposits are non refundable. Registration also implies a financial commitment to pay the full course fee, unless participation is cancelled at least 30 days in advance of the commencement of a course in New Zealand/Australia/USA and at least 60 days in advance of the commencement of a course at our extramural facility in India.

 

  1. Intellectual Property and Media

Photography, audio, or video recording of any course content is strictly prohibited.
All course materials are protected by copyright and must not be reproduced, distributed, or shared in any form without prior written consent. Unauthorized use of The ACE Institute’s name, creation of course-related social media pages or forums, or other platforms of interaction without prior approval is also strongly discouraged. The ACE Institute provides a secure platform on its website for participant interaction while ensuring patient and participant privacy and compliance with consent protocols.

  1. Access to Digital Content

Access to the “Participants” section of The ACE Institute website is granted at the Institute’s discretion and is not automatically guaranteed through course registration. This access is time-limited and restricted to the term of the relevant course. Downloading, reproducing, storing, or distributing digital content from this section is strictly prohibited.

  1. Clinical Care and Patient Relationships

Any treatment performed as part of a course constitutes a professional service delivered directly by the course participant (dentist) to the patient. Participants must provide patients with clear and transparent information for informed consent, including disclosure of their status as a learning participant.

  1. Laboratory Work

All laboratory work must be carried out by dental laboratories based in Australia, USA or New Zealand as part of courses in these countries to ensure continuity of care and quality assurance. A list of approved laboratories is available upon request, and all work must be completed by a provider on this list. Laboratory work at our extramural facility in India is always carried out in house.

These General Terms and Conditions are a summary only. A full set of binding terms will be provided at the time of registration/attendance in the form of a formal agreement, which must be reviewed and signed by a participant.
